APAture 2008 Event Coordinator

Kearny Street Workshop is seeking a Coordinator for its 10th annual multidisciplinary arts festival, APAture: A Window on the Art of Asian Pacific Americans.

The APAture Event Coordinator, under the supervision of the Executive Director, will manage and supervise all organizational, administrative, and logistical aspects of Kearny Street Workshop's APAture: A Window on the Art of Asian Pacific Americans, a multidisciplinary APA emerging arts festival scheduled for September 16- 27, 2008. The Event Coordinator holds primary responsibility for running the event. The coordinator will plan, facilitate and record all organizational meetings with the volunteer APAture staff; structure and delegate task areas and tasks to committees, paid staff, and interns; coordinate and complete call for submissions process; serve as primary contact for artists, press and public and coordinate these with the staff; coordinate and supervise APAture-specific fundraising events and activities; coordinate and supervise production of event; write text and coordinate publicity with publicity staff.


Specific Duties

• Directs the strategic vision and organizational direction of KSW with the Board.
• Coordinate work of curatorial committees and task committees
• Convene all general planning meetings-recording and publishing meeting notes to all members-and coordinate committee meetings, attending where possible
• Work with web designer to update APAture 2008 Web page on KSW site
• Write publicity and promotional texts including fliers, press releases, press kits, and program text
• Identify APAture staff positions and tasks, and recruit organizers and committees to fill them
• Work with APAture graphic designer on 2008 logo, t-shirt, and written program
• Coordinate APAture-specific fundraising event schedule
• Coordinate featured artists selection process
• Coordinate and complete call for submissions process with submitting artists: receive submissions; create and maintain artists database; write and maintain all correspondence with submitting artists; coordinate artist confirmation process; assist technical, gallery and tables coordinators in making direct contact with artists • Coordinate schedule and co-presentations; confirm venues • Manage space logistics • Supervise stage managers and coordinate with tech coordinator • Work with KSW board and staff to coordinate in-kind donations of food/services • Coordinate "thank you" party for festival volunteers • Coordinate evaluation process and write a report on the planning and running of the event

Desired Qualifications

• Excellent oral and written communication skills • Ability to supervise staff and volunteers and effectively delegate responsibility • Experience as an event planner preferred • Fluency in Mac-based applications including MS Word and Filemaker Pro, Photoshop; Web design experience a plus • Knowledge of Asian American community, organizations, and arts preferred • Knowledge of San Francisco Bay Area preferred • Ability to work weekends and evenings when required (evening meetings and fundraising events, and two weeks of festival itself)
Term of Employment: April 15 - Oct. 11, 2008
Pay: $7,000 total (Part-time, temporary, no benefits.)

Contract Bookkeeper

Kearny Street Workshop is in search of a contract bookkeeper to work in a friendly and casual work environment. We are currently using Quickbooks Pro to handle:

• accounts payable
• accounts receivable
• past entries to the general ledger
• monthly financial statements
• bank reconciliation

Hours are very flexible. Knowledge of Quickbooks and non-profit organization fund accounting is a must. Attention to detail and good accounting / bookkeeping skills needed. Rate from $20-25 per hour, maximum 15 hours per month. We prefer someone who has at least 2 years experience in bookkeeping.

KEARNY STREET WORKSHOP INTERNS

KSW seeks interns year-round to help out in our office and with our programming. Our internships are unpaid and are intended for students doing an independent study or seeking an internship for credit.
Interns are asked to commit to 6-10 hours per week for a minimum of four months. Please contact Samantha Chanse for more information.

Membership Coordinator - The Membership Coordinator works with the Executive Director and Program Director to maintain and develop KSW membership systems and events. Primary
duties include:

  • working with KSW staff to develop new levels of KSW membership, including benefit packages
  • overseeing membership renewal process (keeping track of membership expirations, and sending out monthly -renewal notices to members whose membership is expiring)
  • updating and managing database of KSW members and potential members
  • working with KSW staff to develop more outreach activities to build membership
  • coordinating and supervising membership table at KSW events
  • organizing membership events
Desired qualifications:

a demonstrated interest in the arts and in working with Asian Pacific American communities; personable manner and comfort navigating a group environment; highly-organized with attention to detail; strong writing skills; Word and Filemaker Pro experience.

Program and Office Intern - The The Programs & Office Intern/Associate works closely with the Program Director to coordinate KSW's different areas of programming, and assists in office responsibilities. Primary duties include:

  • assisting in publicity for KSW events
  • working with Program Director to coordinate event logistics
  • conducting volunteer outreach and coordinating/supervising volunteers for
    events
  • assisting with office tasks, including answering phones, mail, and making
    xerox copies

Website Intern - The Website Intern with the Executive Director and Program Director to manage the KSW website and keep it up-to-date. Primary duties include:

  • updating on-line calendar
  • developing and adding special features
  • developing Special Programs on-line archive
  • troubleshooting problems with website
  • general website management
